Privacy Notice

Effective 2026-09-05. ProAI Services, Rocklin, California.

What we collect.

When you submit our intake form we collect your name, your business name, your business email, and your industry. If you become a prospect and we hold a discovery call, we record and transcribe that call (see Recording, below).

How we use it.

We use this information only to respond to you, decide whether we're a good fit, and prepare your Assessment Report. We do not sell, rent, or trade your information, and we do not use it for advertising.

Who else handles it.

We use a small set of trusted service providers to run our business: Zoho (email and secure document storage), Zoom (video calls), Fathom (call recording and transcription), and GitHub Copilot (analysis of a redacted transcript with your name, business, and contact details removed). Each acts only on our instructions.

Recording.

We record the discovery call, with your spoken agreement, so we can prepare your report accurately. Recording is a required part of the AI Tools Assessment; if you'd prefer not to be recorded, we won't be able to proceed. The later review call is never recorded.

Tracking.

Our website uses no analytics, advertising, or tracking cookies. Because we don't track visitors, there's nothing for a browser "Do Not Track" signal to turn off.

How long we keep it, and deletion.

We keep your information only as long as we need it for the purpose we collected it, and delete it on a set internal schedule — recordings are kept only briefly and removed soon after we've captured the transcript. We keep a limited billing and consent record longer where the law requires. You can ask us what we hold about you, or ask us to delete it, at any time by emailing [email protected]; we'll honor the request except where we're legally required to retain a record.

Changes.

If we change this notice we'll post the new version here with an updated effective date.
